Submitting Samples from other countries
Importation of Mineral Samples
When dispatching samples, the following is essential –
• Samples must be well packed by the way of –
-- Double bagging, tight packaging with plenty of padding to ensure no damage during transportation.
-- Avoid packaging in recycled fruit cartons and do not use wooden boxes if possible.
-- Do not overload cartons/boxes, 15-20 kg maximum for easy handling.
• Names and addresses of sender and receiver should be clearly labelled on all packages.
• Declaration/pro forma invoice must be attached to the outside of the packages, and a copy with the consignment note/airway bill. See below for details.
• Permit to import quarantine material must be attached to the outside of the packages, and a copy with the consignment note/airway bill. See below for details.
• Once dispatched, please fax, or scan & email the following to Genalysis to expedite delivery and processing:
-- Advice of the pending consignment.
-- Airway bill declaration/pro forma invoice.
-- Analytical instructions, with reporting requirements.

This document must be on your company letterhead and signed by an authorised officer – preferably geologist) and state the following -
1. Number of packages in the consignment.
2. Approximate weight of the consignment.
3. Contents or Description of goods – i.e. sample media = rocks, rc, drill core, stream sediments, soils etc. Clearly indicate if rock or core samples are from >2m below surface.
4. Purpose – i.e. Samples provided for geochemical analysis.
5. Free on board value – it is very important to state a free on board value, the Australian Customs Service can not clear your samples without a value and if you state “no commercial value” this will not suffice and will result in further delays with the delivery of your consignment. (NB: Goods must have a real value, ie $50.00).
6. Airway bill/consignment note number.
7. Country of Origin.
8. Signed (Authorised Person – preferably geologist).
9. Date.
10. By Authority; Name, Position & Company.
Permit to import quarantine material
We can provide a copy of our permit to import quarantine material when requested.
Note: This permit is provided on the provision that all samples consigned using this permit will be sent directly to Genalysis Laboratory Services in Maddington, Western Australia and no other location. Any breach of this specification will be in breach of the Australian Quarantine Act and could result in prosecution.
Bringing samples into Western Australia as luggage
Samples may be brought into Western Australia as part of luggage but it is not recommended, it has proven to be a time consuming inefficient way of bringing samples into Australia.
If you do decide to import samples in this way:
- They must be declared at the airport,
- You will require a copy of our permit to import quarantine material and this must be produced when declaring the samples.
- The samples will be seized by The Australian Quarantine Inspection Service.
- You will be issued with an order into quarantine and the samples will be held at their facility for us to collect.
- You will need to fax, or scan & email the order into quarantine to Genalysis so we can arrange the collection.
Quarantine treatment
Genalysis quarantine treat all samples, packaging and waste prior to preparation and analysis. As per the conditions specified on our permit to import quarantine material all samples, packaging and waste will be heat to a core temperature of 121°C for at least 2 hours.
Importation of Water/Liquid Samples
With regret we wish to advise that Genalysis Laboratory Services are no longer able to gain registration to import waters, solutions or liquids from countries outside Australia.
