Importation of Mineral Samples

When dispatching samples from other states and territories in Australia, the following is essential –

• Samples must be well packed by the way of –
• Double bagging, tight packaging with plenty of padding to ensure no damage during transportation.
• Avoid packaging in recycled fruit cartons and do not use wooden boxes if possible.
• Do not overload cartons/boxes, 15-20 kg maximum for easy handling.
• Names and addresses of sender and receiver should be clearly labelled on all packages.
• Declaration/pro forma invoice must be attached to the outside of the packages, and a copy with the consignment note/airway bill. See below for details. This is a legal document.
• List the sample media type and any information applicable to quarantine (i.e. heat treatment or sample depths) on the consignment note/airway bill.
• Once dispatched, please fax, or scan & email the following to Genalysis to expedite delivery and processing:
• Advice of the pending consignment.
• Airway bill declaration/pro forma invoice.
• Analytical instructions, with reporting requirements.

The West Australian Quarantine Inspection Service has strict laws relating to the various sample media types crossing state and territory boundaries. These regulations need to be adhered too; otherwise prosecution under the Australian Quarantine Act could result.

Declaration/pro forma invoice (blank pdf form with our delivery address)
This document must be on your company letterhead and signed by an authorised officer – preferably geologist) and state the following -

1. Number of packages in the consignment.
2. Approximate weight of the consignment.
3. Contents or Description of goods – i.e. sample media = rocks, rc, drill core, stream sediments, soils etc. Clearly indicate if rock or core samples are from >2m below surface.
4. Purpose – i.e. Samples provided for geochemical analysis.
5. Airway bill/consignment note number.
6. State or territory of origin.
7. Select appropriate information related to quarantine from one of the explanations below:
i. The samples contained within this consignment have been heated to a core temperature of 121 Degrees Celsius for at least 2 hours prior to dispatching the samples and do not require any further quarantine heat treatment.
ii. The samples contained within this consignment have come from a depth of greater than 2 meters and do not require any further quarantine heat treatment.
iii. The samples contained within this consignment require quarantine heat treatment at Genalysis Laboratory Services, as per the conditions outlined on their Certificate of Registration.

Genalysis will quarantine treat all those samples requiring treatment, their packaging and waste prior to preparation and analysis, as per the conditions specified on our Certificate of Registration. Those samples requiring treatment, their packaging and w aste will be heated to a core temperature of 121°C for at least 2 hours.

We can clear some samples of the need for quarantine treatment if the samples have come from depths greater than 2 meters or have been heated to a core temperature of 121 degrees Celsius for at least two hours.

Note: All surface samples and those from depths not greater than two meters are subject to quarantine treatment.

Importation of Water and Liquid Samples

Water samples and solutions are not subject to quarantine treatment but should include a declaration/pro forma invoice. This will help expedite delivery of samples and prevent the consignment being seized by the West Australian Quarantine Inspection Service due to lack of information.

Please complete a declaration/pro forma invoice similar to the details as above, but the declaration must include:
• What the liquid is
• Where it is from
• Approximate volume of each container
• List any pre-treatments (i.e. acidification, acid used and volume of acid)

Submission and Preservation of Water and Liquid Samples

Liquid samples, whether Waters, Solutions, Extracts or Digests must be accompanied by some information regarding their matrix and any potential hazards. We regret that we are unable to commence the analysis until we have received this information.

There is no universal method of preservation or stabilisation of Water or Effluent samples. Each group of analyses has a different preservation requirement. Please consult prior to sampling for advice on the appropriate methods.

When Water and Solution samples are received containing suspended or settled solids, the supernatant only is analysed (except for the determination of Suspended or Total Solids), unless advice to the contrary is received.
